Save a Word Document as a PDF and Email It

Make a folder, turn a Word document into a PDF, and send it as an attachment.

This walks through the whole job start to finish: making a folder to
keep things tidy, turning a Word document into a PDF, and sending it as an
attachment. The last part covers Yahoo Mail and Gmail, so use whichever you have.

Step 1: Make a folder on your desktop

  1. Go to your desktop, so you can see your background picture.
  2. Right-click an empty part of the desktop.
  3. Choose New, then Folder.
  4. The folder appears with its name ready to type over. Type
    Files to email and press Enter.

One folder for this saves hunting through Documents and Downloads later.

Step 2: Open your Word document

  1. Open Word, then open the document you want to send.
  2. Have a quick look at it. What you see now is exactly what the PDF will show.

Step 3: Save it as a PDF in your new folder

A PDF looks the same on every computer and phone, and the person receiving it
cannot change it by accident. That is why it is worth sending instead of the
Word file.

  1. Click File in the top left, then Save As.
    If your Word says Save a Copy, that is the same thing.
  2. Click Browse.
  3. In the list down the left side, click Desktop, then double-click your
    Files to email folder.
  4. Underneath the file name box is a second box called Save as type.
    Click it and choose PDF.
  5. Click Save.

Word makes the PDF and usually opens it so you can see it. Your original Word
document is untouched and still where it was.

Step 4: Open your email

  1. Open your web browser.
  2. Go to mail.yahoo.com for Yahoo Mail, or gmail.com for Gmail.
  3. Sign in with your email address and password.

Step 5: Attach the PDF and send it

The buttons sit in slightly different places, so follow the one you use.

Yahoo Mail

  1. Click Compose in the top left. To reply to a message instead, open it
    and click Reply at the bottom.
  2. Fill in To with the address, and give it a short Subject.
  3. Click the paperclip icon along the bottom of the message.
  4. Click Desktop on the left, double-click Files to email, click your
    PDF, then click Open.
  5. Wait until the file name shows up underneath your message. That is how you
    know it attached.
  6. Type your message and click Send.

Gmail

  1. Click Compose in the top left. To reply to a message instead, open it
    and click Reply at the bottom.
  2. Fill in To with the address, and give it a short Subject.
  3. Click the paperclip icon along the bottom of the message window.
  4. Click Desktop on the left, double-click Files to email, click your
    PDF, then click Open.
  5. Wait until the file name shows up at the bottom of your message. That is how
    you know it attached.
  6. Type your message and click Send.

Worth knowing. You can also drag the PDF straight into the message. Open
the Files to email folder, then drag the PDF on top of the message you
are writing and let go.

If the file will not attach

Most email will not carry a file bigger than about 25 MB. If yours is turned
away, call us at 701.306.0188 and we will get it sent another way.

On a Mac

Same steps, two small differences. To make the folder, hold Control and
click the desktop, then choose New Folder. To make the PDF, click File,
then Save As, and choose PDF in the File Format box.
